Touring the LINQ EP Pages

Each page in the LINQ EP is designed with three primary areas.

Area Description

 Title AreaContains the organization's logo, the name of the organization, the name of the user currently logged in to the portal, and links to user-based options.

  • User Name — click the Drop-down Arrow button next to the user's name to access these links:

  • Account — click this linkClick a link to display the corresponding page. Links display with blue text. to change your personal account settings, including your e-mail address, preferences, usernameType a user name that is at last six characters in length. You can use letters, numbers, and special characters (!, $, &, etc.). and passwordType the password you will use to enter the alio Employee Service Portal. Your password must be at least eight characters in length and must include at least one number (1, 2, 3, etc.) and one special character (!, $, &, etc.)., and security questions.

  • Log Out — click this link to log out of LINQ EP.

  • Navigation Menu — the Navigation Menu below the User Name. It contains the links to which you have access. Click a link to open the page associated with that link. Your LINQ EP system administrator will determine the links that display.

  • Click the Pin button to pin the Navigation Menu to the top of the page.

  • Click the Unpin button to hide the Navigation Menu and display a Handlebar at the top of the page. Click the Handlebar to display the Navigation Menu.

Tip: You can also click the Alt key on your keyboard to pin and unpin the Navigation Menu.

Work AreaDisplays the page associated with the link selected in the Navigation Bar. Use these pages to add, update, and view your employee record.

The Work Area displays the page associated with the link selected in the Navigation Menu. Use these pages to add, update, and view your employee record. Fields that require values are identified with a yellow background.

Footer Area

The Footer Area displays the following links:

  • Notifications link — click the Notifications icon to display the Notifications page. The Notifications page lists all system notifications and e-mail notifications sent to the user.

  • Need Help link — click the Need Help icon to display the help topic associated with the page displayed.

Terminology

The following table defines the components used on the LINQ EP pages. The components are listed in alphabetical order.

Component Description

Drop-down List

Click the Drop-down List button to display a list of valid selections for a field.

GridA grid is a table that may display in the Center Pane. The grid will list records that apply to the selected link.

A grid is a table that may display in the Work Area. The grid will list records that apply to the selected link.

You can click a column heading in the grid to sort the records in the grid in ascending or descending order. An arrow appears next to the column heading text to identify the column used to sort the data in the grid. This sort option is retained when the user navigates to another page within LINQ EP. It is automatically cleared when the user logs out of LINQ EP or is timed-out of LINQ EP.

Links

Click a link to display the corresponding page. Links display with blue text.

Page DetailsPage details display in the Center Pane. Use this section to view employee payroll information, enter or change your profile, and submit a demographic, benefit, deduction, leave, tax, and time entry requests.

The Page Details display in the Work Area. Use this section to view employee payroll information, enter or change your profile, and submit demographic, benefitA benefit is a program with a related payroll deduction, such as a charitable donation or loan payment, that is usually optional., deductionA deduction is a formal plan offered by your organization that may or may not have a related payroll deduction. Examples of deductions include health insurance plans, dental plans, vision plan, and life insurance. You may or may not be required to enroll in one or more of these deductions., leave, tax, direct deposit, and time entry requests.

Page Title

This is the title of the displayed page.

Navigation Buttons

You can use the following buttons to initiate an action in LINQ EP.

Icon Name Description

Open the Calendar

Click the Calendar button to select a date for the corresponding date field. You can click the Month drop down to change the calendar month; and click the Year drop down to change the calendar year. Click the Right Arrow button to move the calendar forward; click the Left Arrow button to move the calendar backward.

Expand a section

Click the Expand button to open the section of a page.

Collapse a section

Click the Collapse button to close the section of a page.

Filter icon

Click the Filter icon to filter the records displayed in a grid and to search for specific records. All filter criteria is retained until you manually remove or change the filter criteria, close the grid filter, or log out of LINQ EP. The filter values are also removed if your LINQ EP session is timed out.

Notifications icon

Click the Notifications icon to display the Notifications page. The Notifications page lists all system notifications and
e-mail notifications sent to the user.

Need Help icon

Click the Need Help icon to display the help topic associated with the page displayed.

Top of page

Page Buttons

The Page buttons display if the number of records listed exceeds the maximum number of records that can display in the grid. Your LINQ EP system administrator defines the maximum number of records that display in the grid.

Button Name Description

First page button

Click the First button at the bottom of the page to display the first page of records.

Previous page button

Click the Previous button to display the previous page of records.

Page number buttons

Click the numbered button that corresponds to the page to be displayed. The page currently displayed is outlined in black.

Next page button

Click the Next button to display the next page of records.

Last page button

Click the Last button to display the last page of records.

Navigation Menu

Click the links in the Navigation Menu to display the following pages. These are the standard links; your LINQ EP administrator may also provide links to other URLs, such as the district home page.

Home

Click the Home link to return to the Home page from another page in the Employee Interface.

The Home page displays your business and personal contact information.

Touring the Employee Home Page

LINQ ERP Time

An LINQ ERP Time link will display when:

  • The system administrator has turned on the LINQ ERP Time feature; and

  • You have an LINQ ERP Time employee and/or manager account.

Click the LINQ ERP Time link to access LINQ ERP Time through LINQ EP. The LINQ ERP Time page that displays depends on your LINQ ERP Time account security:

  • The Employee tab will display when a staff member with employee-only account security clicks the LINQ ERP Time link.

  • The Manager tab will display when a staff member with manager-only account security clicks the LINQ ERP Time link.

  • Both tabs will display when a staff member has both employe and manager security. The Manager tab is displayed as the default tab.

My Approval Queue

The Approval Queue link displays if you are part of a request approval chain. Click the Approval Queue link to view the requests currently waiting for your approval.

Benefits & Deductions

Click the Benefits & Deductions link to:

  • View your current, future, and expired payroll deductions  and benefit package enrollments.

  • Enter a benefit and/or deduction request

Payroll deductions and benefits are defined in the LINQ ERP HRS Payroll and Employee Master files.

Certificates

Click the Certificates link to track earned certifications and to keep those certifications current. You can view active and expired certifications and endorsements related to a certification.

Click the Dependents link to:

  • View the dependents currently on file with your Human Resources department.

  • View dependent plan coverage details

  • Enter a dependent change request

Education

Click the Education link to review the education records on file with your organization’s Human Resources department. Employee education records are defined in the LINQ ERP HRS Employee Master files.

Employee Directory

Click the Employee Directory link to view all employees that work in your organization or in one specific location. Your LINQ EP administrator determines the locations that you can view in the Employee Directory.

Click the Employer Forms link to view and download company forms.

Events

Click the Events link to review the event records on file with your organization's Human Resources department.  You can view active and/or expired events or all events.

Leaves

Click the Leaves link to:

  • View your leave balances, including your beginning balance, accrual totals, used totals, ending balance, and docked leave. Leave accruals and docked leave are calculated as part of the LINQ ERP payroll process.

  • View a calendar displaying your previously used and currently scheduled leaves and leave details.

  • Enter a leave request

Leave Req Calendar

The Leave Req Calendar link displays for approvers that are part of an approval chain. Click the Leave Req Calendar link to use the Leave Request Calendar to view leave requests currently waiting for your approval.

My Contracts

Click the My Contracts tab to view, print, and sign your employee contract electronically. This tab displays if your district has enabled electronic employee contracts.

Payroll

Click the Payroll link to:

  • Display the pay check calendar

  • Print your Payroll Advice

  • View your salary compensation details, years of experience, and time tracking records (if Time Tracking is implemented by your district)

  • View and print your current and previous W-2 and 1095-C forms

  • Enter direct deposit. time entry and tax requests

  • Access the Pay Check Simulator

Professional Development

Click the Professional Development link to review professional development records on file with your organization's Human Resources department. The professional development records displayed are defined in LINQ ERP program HEPDV02A – Employee Professional Development.

Administration

The Administration link displays if your user account is assigned to a user administrator role. Click the Administration link to view the Admin Home page, which contains the administrator links to which you have access.
